Legacy Academy - Event Coordinator and Communications Liaison
RESPONSIBILITIES
- Plan, coordinate, and manage all Legacy Academy events (Preschool–12th grade), including academic, extracurricular, athletic, and community events.
- Serve as the primary point of contact for event-related communications with Legacy Academy families (e.g., events, sports schedules, breaks, weather updates).
- Schedule and lead regular meetings with the Admin Team to plan and evaluate events.
- Work with the Finance Team to establish, manage, and track event budgets.
- Coordinate event payments, order supplies, and manage event-related procurement.
- Serve as the primary liaison with vendors (catering, rentals, entertainment, etc.) to ensure quality and timely service delivery.
- Act as the liaison between the PTA and school leadership, fostering collaboration and shared goals.
- Provide logistical support for special programs (graduations, fundraisers, holiday events, open houses, etc.).
- Maintain an organized calendar of events and deadlines.
- Assist with school-wide internal communications and newsletters when needed.
- Other duties as assigned by school administration.
QUALIFICATIONS / REQUIREMENTS
- Exceptional customer service, listening, and communication skills (written and verbal).
- Proven ability to build positive relationships with students, families, staff, and external partners.
- Highly collaborative team player with the ability to work independently when required.
- Detail-oriented with strong organizational and project management skills.
- Capable of managing multiple priorities in a dynamic, fast-paced environment.
- Demonstrated initiative, reliability, and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with or ability to quickly learn website content management systems (CMS).
- Creativity and proficiency in design software (e.g., Publisher, Canva, Adobe Creative Suite) preferred.
- Knowledge of or willingness to learn about Legacy Academy’s mission, programs, and community values.
PREFERRED EXPERIENCE
- 2+ years of experience in event coordination
PHYSICAL REQUIREMENTS
- Must be able to lift up to 25 pounds.
- Must be able to stand, walk, and move between locations for extended periods during events.
EMPLOYMENT TYPE
- Part-Time Position ( 28 hours) per week
- Evening and weekend availability is required for event coverage
